Planned handout recipients per session: 100, rounded up. Reserve is added to each category independently and rounded up to whole pieces. Signs start from your measured display positions, not attendee count.
Work through the example
With 200 planned attendees per session and 50% receiving a handout, plan for 100 recipients. One copy across two sessions gives 200 handouts. Four staff members carrying 50 cards each need 200 business cards. Six measured sign positions need six signs. Adding a 10% reserve gives 220 handouts, 220 cards and seven signs.
Turn counts into a production brief
- Check assumptions against registrations, past distribution records or the organizer's current information.
- Divide card quantities by staff role and actual need. Use the design quantity splitter for artwork versions.
- Record each sign's size, orientation and location in the poster site survey and rollout checklists. Spare signs may need different artwork.
- Assign proof review, receipt, distribution and removal owners. Confirm supplier quantities, pack sizes and timing separately.
