How does positive pay work, step by step?
Positive pay turns your check register into a whitelist. The routine is the same at most banks, though names and screens differ:
- You write or print a batch of checks in your accounting software
- You export an issued check file listing check number, date, amount and usually payee
- You upload the file to your bank's business portal, or the software sends it
- The bank compares every presented check against the file
- Matching checks pay normally
- Mismatches become exceptions that you review in the portal
- You choose pay or return for each exception before the daily cutoff
The whole point is that the bank stops relying on how a check looks. A counterfeit on perfect paper still fails if its number and amount are not on your list.
What are the types of positive pay?

Payee match matters because a common washing pattern keeps the amount and changes only the name. Standard positive pay can pass that check. If washing is your main concern, as described in our guide to check washing, ask for payee match.
What happens when a check is flagged as an exception?
The bank holds the item and notifies you by email, text or a portal alert. You open the exception, compare the check image with your records, and decide. Many flags are harmless: a check written by hand and not added to the file, a typo in the amount you uploaded, or an old check from before you enrolled.
Know your default decision. Some banks return unreviewed exceptions automatically; others pay them. Returning by default is safer but means a forgotten review can bounce a legitimate vendor payment. Ask for the cutoff time in your time zone and name a backup reviewer for days off.
Does positive pay cover ACH payments too?
Check positive pay only covers paper checks. For electronic debits, banks offer separate controls. An ACH debit block rejects all incoming debits. An ACH filter allows only the company IDs you approve. ACH positive pay holds unrecognized debits for your review, similar to check exceptions.
If you pay taxes, payroll services or subscriptions by ACH debit, list those originators before you turn on a block, or legitimate payments will be returned. Your bank can show you the company ID on past debits so you can approve them in advance.
How do you create a positive pay file from accounting software?
Most accounting software can report issued checks, but banks each want their own layout. In QuickBooks Online, a common route is a customized report of the check run showing check number, date, payee and amount, exported to a spreadsheet and reshaped into your bank's columns. Third party apps can map the export straight to many bank formats.
A typical file has these fields, in the order your bank specifies:

Is positive pay available and affordable for small businesses?
Positive pay started as a corporate treasury service, but many banks and credit unions now include it in small business online banking, sometimes as an add on with a monthly fee and sometimes free on higher tier accounts. Pricing and setup vary widely, so ask directly. These questions get you a clear answer:
- Do you offer standard and payee positive pay on my account type?
- What is the monthly fee, and is there a per exception charge?
- What file formats do you accept, and do you have a template?
- What time is the daily decision cutoff, and what is the default decision?
- Can I key checks manually for small batches instead of uploading a file?
- Do you offer ACH positive pay or debit filters?
If you write only a few handwritten checks a month, manual entry in the portal may be all you need.
Does positive pay replace check security features and good controls?
No. Positive pay catches mismatches at the bank, but it cannot stop a thief who steals checks you issued and deposits them before your file arrives, and it cannot fix a file that is wrong. Security paper, careful mailing and prompt reconciliation still matter. Positive pay depends on clean data, so your checks need a reliable number sequence and a readable MICR line. What happens if I forget to upload my positive pay file?

If you miss the cutoff, the bank applies its default decision, which may return legitimate checks. Build the upload into the same step as printing.
Does positive pay work for handwritten checks?
Yes. Most banks let you key individual checks into the portal instead of uploading a file. Enter the check number, amount, date and payee as soon as you write it. If you forget, the check becomes an exception and you approve it when it is presented, which still works but adds a daily task.
Can positive pay stop a counterfeit check with my account number?
Usually yes. A counterfeit rarely matches an outstanding check number and amount on your issued file, so it becomes an exception you can return. The weak spot is a counterfeit that copies a real outstanding check exactly; payee match and quick reconciliation help catch those duplicates.
